10 steps to optimize a monitoring center

Latin America. Day by day monitoring centers play an essential role in security companies and that is why users demand greater efficiency, quality and multiple services. With this premise it is clear that a monitoring center must be optimized in each of its processes in order to remain competitive. 

SECURITY SALES, together with Kronos Latin America presents the following 10 steps to help you carry out this optimization process:

1. Integrate your technologies
The higher the level of integration, the greater the efficiency of your plant, the greater your operational capacity and you will be able to expand your services.

Using separate applications and supporting each of them generates manual tasks, segmented information and greater possibility of errors.  It means a greater operational load, lower attention span and limitations to offer new products.

Kronos allows you to integrate alarms, video, GPS, round control, e-mail, SMS, among other systems in a single application, optimizing your headquarters and allowing the creation of connections between technologies for the creation of new services.

2. Do not depend on particular decisions
The attention in the monitoring center cannot depend on the personality, experience or concepts of the operator attending an event.  To make your service effective, you must implement attention procedures for each signal.  The operator must execute them step by step, it is not necessary for him to think or decide what to do because the procedures already have him covered.  

In Kronos it is possible to create service procedures for each type of alarm and customized for each user.  Procedures are automatically deployed with each event.


3. Use simultaneous alarm attention

A properly trained operator can operate several alarms at the same time, however in order for him not to make mistakes he must have at his disposal an application that allows him to have a global view.   In it an operator can attend an alarm, know its active, pending, standby alarms and even which are attended by another operator.  A trader's performance can grow by up to 100%.

The Kronos monitoring console has a global view of the status of all customers, alarms and services.  This view makes it easy for an operator to attend to alarms simultaneously and easily.

4. Do visual event verification
Sending a response team to check if an alarm condition is real or going to an emergency situation without knowing how to know details is ineffective and even dangerous.   Therefore, you should check the alarm signals using video systems or photographs of the site.  Not only will you save money by avoiding sending staff when it is not required, you will also be able to give better attention when situations are real.
Visual event verification is fully integrated into the alarm operation view in the Kronos system.  Any video system with Web connectivity can be viewed immediately.

5. Use multiple monitors
Deploy more information in a single view, so operators have access to more information without having to switch between modules or applications.  An example is to have a support monitor, the content displayed on this monitor can change dynamically, if there is a panic alarm the operator will display the cameras for video verification but if it is an alarm in a vehicle the map will automatically be displayed with the position on a map.


Use up to 3 monitors per operator in Kronos with dynamic information display functions.  The results of the operation will increase rapidly.

6. Control your patrols in real time
A central monitoring operator can do better management of response teams if they always know their current position and activity.  Even more so if the control of the patrols is integrated into the alarm service system.  The savings of time and resources are surprisingly high, in addition to the option to implement new services using the same staff.


Kronos is fully compatible with real-time round control systems such as ActiveGuard and ActiveTrack.  In addition to integrating a patrol console into the alarm operation view, round control functions are also available.

7. Notify automatically and immediately.
Making a phone call for each event at your exchange is far from helping you optimize.  Use e-mail messages, SMS text messages or push notifications to inform your users in real time about alarms in process, openings, closings, among other news.  The success of these notifications is guaranteed if they are personalized, have dynamic content and their sending, automatically, has constancy, that is, it does not present failures, delays or losses, as happens when it is done manually.

Kronos has full support for sending automatic e-mails, SMS sending platforms and modems and push notification providers.  The process is fully customizable for each signal, alarm and client. Notifications are automatic.

8. Make the software work for you
A high percentage of a monitoring operator's tasks are repetitive and done mechanically, the others are real alerts and maintenance tasks. It means then that up to 80% of the processes can be automated with the monitoring software, simply the software must execute those tasks by the operator, the latter will be available and attentive to the events that really require attention.
Kronos' automatic actions feature is capable of replicating tasks that an operator would execute manually.  The software administrator defines and creates these actions, the software performs the rest without any human intervention.

9. Delete manual reports
A large percentage of operators must generate manual reports, adjust them and send them manually to customers. This work demands a lot of time and avoids the growth of the services of the central...   Automatic reporting should be a tool of monitoring software, but a more effective solution is to give the client access through Web pages or mobile applications for him to review the information he requires.


 Kronos allows the fully automatic sending of event and signal reports, it is possible to define filters in the reports and the periodicity of the shipment.

 

10. Deliver information to your users.
Deliver information to the customer and move more freely.   Web accesses for clients, applications for mobile phones and applications for direct connection to the monitoring center allow the client to create online reports, view information in real time, create their own filters and print if desired.  These accesses will save you a lot of time, reduce calls with queries and give a great image to your company.


Four different types of information access Kronos offers for its customers: on-site monitoring terminals, secure account management consoles, web access to information and mobile application for smartphones.
